e-mail and SMS

Managing e-mail and SMS traffic can become a nightmare, if it is conducted with tools that are intended for personal use. First of all,

  • e-mails sent in the name of the company are outgoing documents
  • e-mails received in the name of the company are incoming documents

and they need to be kept safe so as to prevent potential disagreements. Companies, that track and file mail and fax correspondences meticulously, overlook the need to do the same for e-mail correspondences. e-mails are sent by means of the software in personal computers. Nevertheless, the classification and archiving are up to the users or service providers. Especially if other company personnel are not on the distribution list, not everyone can receive the e-mails that have been sent. Also, the additions made to the distribution list lead to the piling up of many unnecessary correspondences in contacts’ inbox folders.

e-mails sent with Campus are stored on the database of Campus, so that
  • sent e-mails can be found easily
  • e-mails received and sent from contact and account cards can be examined.

As all e-mail addresses are taken from contact and account cards, they always remain valid with just one update.

Another problem is the e-mail address groups. Mail groups are either created by users in tools they use, or by system managers in e-mail servers for corporate use or similar tools. Each disruption while editing e-mail addresses or e-mail group content cause a wrong e-mail to be sent. Campus makes grouping dynamically during the sending process and guarantees error-free sending.Campus provides opportunity even for a complex grouping such as general managers, who are over 35 years old, of companies in Nourishment sector (and in its sub-sectors) which are located in Black Sea and Marmara regions. Furthermore, it renders investments in e-mail servers and employees on this duty unnecessary. Even though the group contents change afterwards, the recipients of old e-mails can be viewed.

In order to prevent exposing e-mail addresses while sending e-mails to multiple recipients, e-mail addresses are usually typed in Bcc. In such situations, service providers and firewall usually detect these e-mails as spam. Campus prevents e-mails from being stuck on spam filters while providing privacy for e-mail addresses.

Names can be added to e-mails to address contacts directly; reference numbers can be designated, and distribution lists can be added as footnote instead of adding all recipients seperately.

e-mails that could not be delivered can be detected. If desired, users’ inbox folders can be scanned automatically to be synchronized with their outbox folders.

Determines related contacts and accounts from the e-mail addresses of incoming e-mails  and transfers these e-mails to the database, provides access to them from contact and account cards, and notifies users for unread e-mails. Thus, communication via e-mail in the name of the company becomes no longer a personal issue. Also, it eliminates problems that come up as a result of resigned or absent employes.

These conveniences for e-mail can be applied completely or partially to SMS, MMS and fax traffic.
